GDPR handling in Business Central

The standard functionality in Business Central Online is limited to classifying data — marking tables or fields as containing personal data, and extracting personal data after that classification. Standard Business Central can classify your data, but it cannot delete or anonymise it the way GDPR requires. That leaves you with a gap.

Vision People has therefore built an app: VisionGDPR, which handles exactly that — deleting and anonymising selected data based on setup and filtering.

VisionGDPR includes a setup table where you pick the tables you want handled. The setup includes an ordinary table filter, so you can filter on every field in the table and select precisely the data you want. You can also choose a dynamic date field on the table, so purchase invoices, for example, can be deleted based on either posting date or creation date, depending on your setup.

VisionGDPR also lets you choose whether data inside the filter should be deleted, or whether selected fields should be anonymised — that is, overwritten with a defined value.

You define which tables and fields are anonymised, so you decide exactly what gets overwritten. When the ”Anonymise field” option is ticked, the underlying table of field numbers, names and anonymisation text has to be filled in.

In addition to filtering directly on a table, VisionGDPR supports deletion or anonymisation based on a linked table. That makes it possible to delete every dimension value not used on any general ledger entry for the past five years (and to repeat that in the years to come) — or to anonymise customers with no posted sales, delete sales documents for anonymised customers, and so on.
