Managing GDPR regulations in Business Central

The standard functionality of Business Central Online is limited to providing the ability to classifying data, including marking tables or fields as being sensitive to personal data, as well as reading out post-classification sensitive data. The functionality is not immediately assessed as sufficient for companies, since the actual deletion and anonymisation of data, in accordance with the applicable DPR rules, is not supported.

Therefore, VisionPeople has developed the app: VisionGDPR, which precisely handles the deletion and anonymization of selected data based on setup and filtering.

VisionGDPR contains a layout table where you can select the tables you want to handle. The setup includes regular table filter, so that all fields in the selected table can be filtered to select the data to handle. In addition, it is possible to select a dynamic date field in the table, so that, for example, purchase invoices can be deleted based on the posting date or the creation date, depending on the setup.

VisionGDPR also includes the option to either delete data within the filter or anonymize selected fields — that is, overwritten with a defined value.

The solution is made so that you can define which tables and fields you want anonymized, which makes the solution extremely flexible. If the “Anonymize field” field is checked, the underlying table with field numbers, names and anonymization text will need to be filled in.

In addition to filtering directly on a table, VisionGDPR also supports deletion or anonymization based on a linked table. For example, this allows you to delete all dimension values that have not been used on any financial items in the last 5 years (and repeat them in future years). This could similarly be anonymisation of debtors without recorded sales, deletion of sales vouchers on anonymised debtors or the like.
